Job Description


The Office Coordinator is the first point of contact for facility support for Carestream Dental. This individual will facilitate work orders, maintain record and contracts in support of outside vendors, conference room management, and other support services. The Office Coordinator duties can involve operations, technical services, as well as property or asset management. In short, the health and safety of the employees and guests is a core responsibility of this position. The individual must be coordinated, quick-thinking, organized, and have excellent people skills.


Essential Job Functions:

  • Manage the Security access-control database in conjunction with the Reception Desk
  • Process purchase orders
  • Assist staff in locating parts, supplies, and materials on the premises
  • Assists with concessions operations, restocking food items and other necessities
  • Manage work order requests, assigning work orders, and working directly with building management
  • Assists with office allocation. Maintaining up-to-date record of available office space and personnel seating
  • Purchase, receive, inventory, and distribute supplies to individuals and departments
  • Maintain spill and first aid kits
  • Schedule needed inspections, to include fire drills
  • Issuing facility related communications company-wide, to include office closings due to inclement weather, parking lot hazards, and corporate activities
  • Monitoring lighting, visible hazards, and other facility related matters to report to building management for repair
  • Obtain quotes from contractors for installations, repairs, and building modifications
  • Manage storage rooms/closets
  • Overseeing conference room set-up and recovery
  • Maintaining record of safety Committee members
  • Carry out other job-related duties as assigned

Knowledge & Skills:

  • Strong Microsoft Office suite administrative/analytical skills
  • Basic understanding of techniques for minor repairs to, and maintenance of, systems, equipment and buildings
  • Ability to communicate effectively, both verbally and in writing, with facility service providers, general public, and employees
  • Ability to prioritize, schedule assignments, and communicate those priorities and schedules to Carestream staff and guests
  • Flexible work schedule
