Job Description

The Executive Administrative Assistant serves as the primary point of contact for matters pertaining to the office of the CEO. Responsible for managing the administrative needs of the Dental Business CEO and direct reports, both local and international. The ability to work independently and handle a variety of activities and confidential matters with discretion. Serves as office liaison to outside business organizations and other industry associations. The Executive Administrative Assistant ensures that the CEO time is optimally used and that is appropriately briefed for all appointments.


  • Provides strong administrative assistance to the Dental Business CEO and direct reports
  • Manages extremely active calendar for the CEO and team members
  • Assists with the preparation of internal presentations
  • Coordinates and arranges extensive travel planning (including international, visa and passport needs)
  • Coordinates event planning both locally and internationally (including meeting location, lodging, team events, meal planning, and price negotiation)
  • Collection and data entry of all travel/entertainment expenses for CEO and direct reports
  • Reviews expense reports for approval on behalf of CEO
  • Coordinates all leadership team meetings both on-site and abroad
  • Tracks all non-disclosure agreements for the U.S. Dental Business and coordinate with the corporate office
  • Invoice processing, payment confirmation and monthly accruals submission
  • Processing miscellaneous check deposits for the Carestream Dental LLC subsidiary
  • Arrangements of interviewees including schedules, logistics, travel, and expense reimbursement
  • Scheduling of global management meetings including teleconferencing and video conferencing
  • Provide additional assistance to supporting departments (i.e. Facilities, Legal, Regulatory, Human Resources, Marketing)
  • Conference room set up for events such as the "Town Hall" meeting including furniture, teleconferencing needs and communication of details
  • Drafting and distribution of business information to global team (i.e. organizational announcements, team event details, periodicals/publications)
  • Handling of escalated customer inquiries including research and follow-up
  • Draft correspondences on behalf of the CEO
